Overview

User Delegation makes it easy for leaders and busy team members to grant access, and get ongoing help managing their WorkBoard tasks. It allows you to give someone else — like your Chief of Staff, admin, or operations partner — permission to act on your behalf within the platform.

Whether you're stepping away on leave or just want a smoother way to get support with weekly routines, User Delegation ensures things keep moving. Your delegate can update items, manage actions, and support your workflows just like you would.


Key Capabilities

Delegating Access

You can assign anyone in your organization as your delegate, giving them the ability to act on your behalf — whether you're out of office or just need extra support managing your WorkBoard tasks.

⚠️ Heads up: Your delegate will have full access to your account. They'll see what you see and be able to make updates, complete check-ins, and more. Only assign someone you trust and who should have visibility into the same work you do. If your account has access to sensitive information that the delegate should not see, it is strongly advised not to delegate access to them.

To give someone access:

  • Click your profile picture in the top right corner

  • Select Manage Delegates

  • Search for the person you want to give access to

  • Click to grant access

You’ll always be able to revoke access at any time from the same place — just return to the Manage Delegates menu

How Delegate Actions Are Reflected

When a delegate takes action in WorkBoard on your behalf, it’s as if you performed the action yourself.

Whether it's updating a key result, completing a check-in, or leaving a comment — all actions taken by your delegate are attributed to you, not them. This ensures consistency and keeps communication and records clean and clear.

Example: If Jackie is Danielle’s delegate and leaves a comment on an objective, Danielle’s name will appear as the commenter — not Jackie’s.

This makes delegation seamless and helps your team stay aligned, even when someone else is lending a hand behind the scenes.


Accessing an Account You’ve Been Delegated

Once someone has granted you delegate access, switching into their WorkBoard account is quick and easy:

  • Click your profile picture in the top-right corner

  • Select Switch Profile from the dropdown

  • Choose the person whose account you’d like to access

When you switch to another user’s profile as a delegate, you’ll be logged out of your own account. Make sure to save any unsaved work before switching — so nothing gets lost in the process!

When you switch into someone else’s profile in WorkBoard (after being granted delegate access), you’ll notice a green bar across the top of your screen.

This green bar is your visual cue that you're acting on behalf of someone else — it helps you stay anchored and avoid confusion while navigating their workspace.

Need to switch back to your own account? Just click the green bar, and you'll open the profile switcher to return to your own WorkBoard view.
